1. Data Controller

The data controller for personal data processed through FTM Dash is the vehicle rental operator who created the KYC case. FTM Dash acts as a data processor on behalf of the operator.

2. Data Collected

We collect and process the following personal data:

• Identity information: full name, date and place of birth, citizenship, sex
• Document details: document type, number, issuing authority and place
• Driver's license information: number and issuing place
• Contact information: phone number, email address
• Document images: photographs or scans of identity documents uploaded by the user
• Technical data: browser type, IP address, and session cookies necessary for service operation

3. AI-Powered Document Processing

Uploaded identity documents are processed using artificial intelligence services provided by third parties (including Anthropic's Claude API) for optical character recognition and data field extraction. Document images are sent to these AI services solely for text extraction purposes. The AI providers process data in accordance with their own data processing agreements and do not retain document images beyond the processing request. All AI-extracted data is presented for human review before any further use.

4. Purpose of Processing

Personal data is processed for the purpose of identity verification as required by vehicle rental regulations. Upon validation, data is transmitted to the operator's fleet management system (CARGOS) to complete the rental contract registration.

5. Legal Basis

The processing of personal data is based on the user's explicit consent (Art. 6(1)(a) GDPR), provided when accepting these terms before submitting documents. For AI-powered document analysis, consent is obtained as part of the terms acceptance step.

6. Data Storage and Retention

Uploaded documents are stored in encrypted cloud storage (AWS S3) and are accessible only through time-limited secure links. Personal data is retained for the duration required by the rental operator's legal obligations. Users may request deletion of their data by contacting the rental operator.

7. Data Sharing

Personal data is shared with:

• The vehicle rental operator who initiated the KYC verification
• AI service providers for document text extraction (data is not retained by these providers)
• The CARGOS fleet management system upon validated submission
• Cloud infrastructure providers for secure data hosting

Data is not sold to third parties or used for marketing purposes.

8. Cookies

We use strictly necessary cookies to maintain your session and preferences (e.g., language selection). We do not use tracking or advertising cookies. You can manage cookie preferences through the cookie banner displayed on your first visit.

9. Your Rights

Under the GDPR, you have the right to access, rectify, erase, restrict processing of, and receive a portable copy of your personal data. You may also withdraw consent at any time. To exercise these rights, contact the rental operator who initiated your KYC verification.
